Virtual Producer (Mandarin and French)

Position Overview:
Reporting to the Project Coordinator a Virtual Producer will set up and manage online learning workshops. The Virtual Producer will help to create a high impact learning experience by supporting the learning facilitator while also providing technical support. You will be responsible for high-quality delivery, managing technical difficulties, smooth interaction between participants and the interface and act as a professional voice behind the scenes. HORN Producers spend time before the workshop to understand the flow of the training and where they can bring the most value. There are two main parts to the job: your technical ability surrounding the platform and client management.

Essential Job Functions:

  • High quality delivery with seamless transition between facilitation and activities
  • Expert knowledge of Zoom, MS Teams and Webex
  • Manage technical difficulties and support participants and facilitators
  • Manage your calendar to reflect current availability
  • Professionalism; being on time and prepared for every session assigned
  • Superior communication skills

Responsibilities Before a Session:

  • Review all documents sent by Project Coordinator to ensure understanding
  • Reach out to Project Coordinator if there are any foreseen technical difficulties
  • Open meeting room 30 minutes in advance of meeting time
  • Review producer notes with Facilitator
  • Set up polls
  • Preconfigure breakout rooms
  • Familiarize yourself with breakout room activities
  • Set participant privileges

Responsibilities Before a Session:

  • Review all documents sent by Project Coordinator to ensure understanding

Responsibilities During a Session:

  • Greet attendees
  • Record sessions
  • Share documents (learner packages, job aids etc.)
  • Provide assistance and technical support to attendees and facilitators
  • Launch polls
  • Manage breakout rooms; have group size and configuration reflect the notes, be prepared to join and provide assistance, give time warnings etc.
  • Share screen or slide decks
  • Leverage other technology (bluesky, poll everywhere etc.)
  • Take attendance

Responsibilities After a Session:

  • Provide Project Coordinator with attendance
  • Report on any changes in timing, activities or participation
  • Report on any technical issues

Pre-requisites

  • Strong communication skills
  • Knowledge of Microsoft Office applications such as PowerPoint, Word, Outlook, and Excel
  • Technical knowledge of WebEx, MS Teams, Zoom or similar Training platform preferred
  • Ability to support evenings and nights as required
  • Ability to troubleshoot and resolve common issues and assist presenters and participants in working through technical challenges
